Documenting a missing item
When something disappears during a stay, what matters is the record you already have. Many hosts find that the documentation created before the guest arrived is what makes the difference later, not the notes written after the item was missed.
Steps that build a usable record
A few practical habits make a missing item much easier to demonstrate:
- Inspect the property before the guest arrives.
- Photograph the items that are present, room by room.
- Keep communication with the guest inside the platform.
- Save messages and emails related to the item.
- Inspect again as soon as the guest checks out.
Keep in mind that an item not being found is not, on its own, proof of who removed it. A record shows what was there and when it stopped being there — the rest depends on the circumstances and on the platform's own rules.
Communication still counts
Reaching out early tends to resolve more cases than a formal claim does. Let the guest know the item was not found during the post-checkout inspection and give them room to explain. Often an object was simply moved, stored somewhere else, or packed by mistake.
Keeping the record in one place
An inventory app lets you run detailed inspections and keep the condition of each item attached to the stay it belongs to, so you are not searching an old camera roll months later. Create a free account and start recording your property before the next check-in.
